Auto generated and short-hand journal line description in Dynamics 365 Finance and Operation

I would like to tell you about 2 features in D365FO which are there for a long time but I don't know how many actually use it. So I decided to blog about it. These 2 simple features with high IMPACT are as below:

1.Journal Description

2. Default Description

 1. Go to General journal -> Journal Description

This is form is used to create shorthand description which will be converted to Full-text description.

The form is like below:

When you type acq -> it will be converted to 'Acquisition' on journal line description. This is applicable for all the journals in D365FO

This helps a lot if you are going to input lots of transaction lines particularly when it is closing journals etc.

2. Go to General journal -> Default Description

Form data looks like below:

I have set up some of the common default descriptions. Though this seems like a small thing but the impact is very high. This is applicable to both manual and automatic journals. In manual journals, if the description is blank, it will be generated using the below setup.

when posting happens, Description is updated according to setup:

This is particularly helpful for reconciliations and data analysis from standard SSRS report as well as Financial reports from FR.

SSRS report (Transaction list by date): Because detailed description it is easier to find the data more easily and searchable n SSRS as well as Excel when data is exported to Excel.

Financial report (Income statement):

  1. This is cool - I didn't know about the journal description functionality. Does this work across all journal types?

  2. Thanks Vinit. And do you think is it possible to generate automatic description in General journals? For example, if I post a collection settling the invoice I want that journal automatically shows "Collection + Customer X + Invoice X". I was not able to set up this way in default descriptions.
    Thanks again.
